Privacy and cookies
What we collect, and why.
This page covers the AviFBO website and the emails we send about AviFBO. It is written to be read, not to be skimmed past. Last updated 25 September 2026.
Who is responsible
AviTracer LP (“AviFBO”, “we”) is the controller of the personal data described here. For anything on this page, write to [email protected].
This page does not cover the AviFBO application itself. A flight school using AviFBO decides what goes into its own system about its students, staff and customers; we process that data only on the school’s instructions, under our agreement with it, and the school’s own privacy notice applies.
What we collect
When you send the contact form
Your name, email address, organisation, fleet size, whether you use MyFBO, your message, and — if you arrived through a tagged link — which campaign, email link or website brought you here and which page you landed on. We use it to reply to you and to learn which of our emails and pages are useful.
Basis: taking steps at your request before a possible contract, and our legitimate interest in answering enquiries and knowing where they come from.
When you visit any page
The site is delivered through Cloudflare, which necessarily sees your IP address and browser details in order to deliver pages and block attacks. Our own server keeps no log of visits. On the contact page, Cloudflare Turnstile checks that the form is being filled in by a person.
Basis: our legitimate interest in running a secure website.
Analytics — only if you agree
Google Analytics records which pages you view, how you arrived (including the campaign in a link), roughly where you are (country and city, from your IP address, which Google does not store), your device and browser, and whether you started or sent the contact form. We see this in aggregate; we do not use it to identify you.
Basis: your consent. Nothing is loaded until you give it.
Advertising measurement — only if you agree
The Meta Pixel tells Meta which pages you viewed and whether you sent the contact form, so we can see whether our adverts on Facebook and Instagram lead to enquiries and show adverts to people who have visited. If you have a Meta account, Meta may link this to it under its own policy.
Basis: your consent. Nothing is loaded until you give it.
When we email you about AviFBO
We send occasional emails to people at flight schools, flying clubs and FBOs about AviFBO. For that we hold your name, work email address, organisation and role, and where we got them — from you, or from your organisation’s publicly listed business contact details. Our email service records whether an email was delivered, opened and which links were clicked.
Basis: your consent where the law requires it, and otherwise our legitimate interest in telling organisations about a service relevant to their work. Every email has an unsubscribe link that works in one click; we then keep your address on a do-not-email list so that you are never emailed again.
Who processes it for us
- Cloudflare — website delivery, security and the contact form’s spam check.
- Twilio SendGrid — delivering contact-form enquiries to us and our emails to you.
- Google — our email inbox (Google Workspace), and Google Analytics if you agree to it.
- Meta Platforms Ireland — advertising measurement, if you agree to it.
Some of these companies are based in the United States. Transfers rely on the EU–US Data Privacy Framework, under which each of them is certified, or on the European Commission’s standard contractual clauses. We do not sell personal data, and we do not share it with anyone else.
How long we keep it
- Enquiries: while we are in conversation, then up to two years after the last contact, unless you become a customer.
- Email contact details: until you unsubscribe or ask us to delete them.
- The do-not-email list: for as long as we send email, so we can keep honouring it.
- Analytics data: 14 months, then Google deletes it.
Cookies and browser storage
Only strictly necessary items are used unless you agree to more. You can change your choice at any time, and withdrawing it deletes those cookies.

Your rights
You can ask us for a copy of the data we hold about you, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. Where we rely on your consent you can withdraw it at any time, which does not affect what happened before. Write to [email protected] and we will answer within a month.
If you are unhappy with how we handle your data, you can complain to the data protection authority where you live or work, or to ours: the Hellenic Data Protection Authority, dpa.gr.
Changes
When what this site collects changes, this page changes with it and the date at the top moves. If we add a new kind of cookie, the banner asks you again. Questions go to [email protected].
